Basic instructions for using the system

ENTERING TEXT

When entering text you are presented with 3 options: html, structured text and plain text. If you want to use styling (bold- face, colors etc.) then your best choice is html using the embedded html too epoz which automates the process so all you have to do is type,

To access epoz select it under editor in your preferences. Keep in mind that epoz doesn't work in Safari in OS X and I've heard of difficulties with IE as well. I recommend using Firefox, an excellent open source browser that is compatible with epoz. Once you've selected epoz as your editor it appears as a green bar above the text entry box. There is a small (too small) toggle in the lower left hand corner that toggles source view on and off in case you want to look at the html source.

CHOOSING A STATE

The Plone system uses states to determine who can and can't view your content: visible/draft, members only, private and publish.

When you add something to your folder, the default state is publish which means it's immediately public and appears in the what's new and calendar tabs, the news and events boxes and the audio tab (depending the on the content type you add).

If you want something to remain completely private, either because it's unfinished or because you only want the item to be available to selected members, you must choose private under the state tab at the top of the window or by changing the status of the item to private in the state drop down menu located in the green bar.

You may also assign the state members only which will list your items under those same tabs but they will only be visible for members when they log in.

You can edit a document in its published state or retract it in the state tab and reassign the appropriate state after the changes are made.

FAVORITES

Every member has a favorites box similar to the events and news boxes on the front page. The box doesn't appear until a favorite has been designated. To mark something as a favorite, navigate to that item and click the tiny red arrow next to "you are here" in the bread crumb bar near the top left hand corner of the page.

WORKING COLLABORATIVELY

Any folder of items can assigned the private state and selectively shared with other members. Examples of this use would be collaboratively editing a document or granting private access to a sound file to another member(s). To use this feature, make the folder private in the states tab or pull down menu then select the sharing tab. Search for the member you want to share the items in the folder with, check the box above their name and choose owner in the role to assign drop box. Click assign local role to selected user(s) and that's it! The member you've selected now has equal access to your items in the folder.
